AI automation basics

Is AI automation worth it for a business with fewer than ten staff?

Often, yes. Small teams feel lost hours most. If one person spends several hours a week on a repetitive task, such as chasing invoices or answering the same questions, automating it can free a meaningful share of their week. Start with one task and measure the time saved. The free automation map can help you choose that first task.

What is the difference between automation and AI?

Automation follows fixed rules, such as “when a form arrives, create a contact”. AI interprets things that don’t follow fixed rules, such as reading a messy email or deciding which team should handle a request. Most useful systems combine both.

Can AI automation handle tasks that change every week?

Partly. AI copes well with variation in inputs, like different invoice layouts, but processes whose rules change constantly need people. In those cases, automation can prepare the work while staff make the final call.

How do I get my team to trust automation?

Involve them early, start with tasks they dislike, run the automation alongside the manual process at first, and make every action visible in a log. Trust grows when people can see what the system did and correct it easily.

What is a realistic result in the first month of automation?

For a well-chosen first task, a working automation that removes a few hours of manual work per week is realistic. Larger gains usually come as further processes are connected over the following months.

Chatbots and voice agents

What is the difference between a rule-based chatbot and an AI chatbot?

A rule-based chatbot follows scripted menus and only understands expected phrases. An AI chatbot understands natural language and follow-up questions, and can answer from your own information, which makes conversations far less frustrating. See how we build them through AI chatbot development.

Can an AI receptionist take payments over the phone?

It’s possible with a compliant payment provider, but most small businesses are better served by sending a secure payment link by SMS after the call, which keeps card details out of the conversation.

How do AI voice agents handle callers who just want a person?

A well-designed agent recognises requests like “can I speak to someone” and transfers the call or books a callback straight away, rather than forcing the caller through more questions.

Can a chatbot answer Instagram and Facebook messages?

Yes. Chatbots can connect to Instagram Direct and Facebook Messenger through Meta’s business tools, answering common questions and passing complex conversations to your team.

Do AI chatbots work for B2B businesses?

Yes. B2B chatbots often qualify enquiries, answer technical or pricing questions, book discovery calls and route leads to the right salesperson, which suits longer, more considered buying processes.

AI agents and integrations

Are AI agents the same as custom GPTs?

Not quite. A custom GPT is a configured chat assistant inside ChatGPT. An AI agent built for your business can connect to your own systems, take approved actions and run without someone typing into a chat window. Our AI integration services connect these tools to Xero, MYOB and your CRM.

Can AI connect to software that only runs on one office computer?

Sometimes. If the software offers exports, a local database or an API, a secure connection may be possible. Older desktop-only software can limit what’s practical, and moving to a cloud version is sometimes the better long-term fix.

Should I share API keys with an agency?

Share access through each platform’s user or app permission system where possible, created in your business’s name. Avoid emailing keys or passwords, and remove access when work finishes.

What happens to our automations if we change CRM?

Automations connected to the old CRM need to be rebuilt for the new one. Good documentation makes this faster, so ask for a list of every workflow, trigger and integration before switching systems.

SEO, AEO and GEO

What is AEO (answer engine optimisation)?

AEO is the practice of structuring content so search engines and assistants can extract a direct answer to a question, for example in featured snippets, voice answers and AI Overviews. Clear questions, concise first-sentence answers and well-organised pages are the core of AEO. Our SEO and search marketing team can review where you stand today.

How is AEO different from GEO?

AEO focuses on being the source of a direct answer. GEO, generative engine optimisation, focuses on how AI tools understand, describe and recommend your business overall, including mentions, reviews and listings beyond your website.

Do AI Overviews reduce clicks to my website?

For simple informational questions, they can, because the answer appears on the results page. Commercial searches, local services and complex decisions still drive clicks, especially to sources cited inside the AI answer.

How can I check whether ChatGPT mentions my business?

Ask ChatGPT, Perplexity and Gemini the questions your customers would ask, such as “best electrician in Geelong”, in a fresh session, and note who is recommended. Repeat over time, because answers vary.

Is SEO still worth it now that people use AI to search?

Yes. AI tools draw heavily on content that ranks and is trusted by search engines, and Google remains a major source of commercial searches. SEO now supports both traditional results and AI answers.

Does posting on social media help SEO?

Not directly as a ranking factor, but active social profiles can build brand searches, mentions and links, and they give AI tools more consistent information about your business.

Should I create a separate page for every suburb I serve?

Only where you can say something genuinely useful about each area, such as local projects, travel times or regulations. Dozens of near-identical suburb pages tend to perform poorly and can weaken the whole site.

Websites and ecommerce

How often should a business website be redesigned?

There’s no fixed schedule. Redesign when the site no longer reflects your business, performs poorly on mobile, is hard to update or runs on unsupported technology. Many sites benefit more from regular improvements than from full rebuilds. See our web development services or estimate a budget with the website rebuild estimator.

What is the difference between a website builder and a custom website?

Builders like Wix and Squarespace offer quick setup within a closed platform. Custom websites, often on WordPress, give more control over SEO, performance, integrations and ownership, but need proper setup and maintenance.

Do I need a .com.au domain?

If you mainly serve Australian customers, a .com.au domain signals local relevance and trust. You need an Australian ABN or other eligibility to register one. Many businesses also secure the matching .au and .com versions.

How fast should my website load?

Aim for the main content to appear within about two and a half seconds on a typical mobile connection, which aligns with Google’s Core Web Vitals guidance for Largest Contentful Paint.

Is Shopify or WooCommerce cheaper over three years?

It depends on sales volume, apps and hosting. Shopify has predictable monthly and transaction fees; WooCommerce has lower platform fees but higher hosting and maintenance costs. Compare total costs, including apps and support, for your expected volume.

Graphic design

How many logo concepts should I expect from a designer?

Most professional designers present a small number of distinct directions, often two to four, then refine the chosen one. Many weak concepts are less useful than a few well-considered ones.

What file formats should I ask a designer for?

Ask for vector files (AI, EPS, SVG or PDF) for print and signage, and PNG and JPG files for web and social use. Also ask for colour codes and font names.

Can I trademark a logo made with AI?

It can be difficult. AI-generated designs may be similar to existing marks and may raise questions about originality and ownership. If trademark protection matters, use an original, human-designed logo and seek advice from a trademark attorney.

Pricing and timelines

Why do agency quotes vary so much for the same project?

Quotes differ because of scope, experience, the quality of research and testing, what’s included after launch, and whether costs like content, licences or support are included. Compare what’s delivered, not just the total.

What is included in a monthly care or support plan?

Typically monitoring, updates, backups, security checks, fixing issues and a small allowance for changes. Ask exactly what’s covered, response times, and whether you can cancel month to month.

Do you charge for small changes after launch?

Minor fixes related to the original scope are usually covered for a period after launch. New requests are quoted or covered by a care plan allowance, so there are no surprises.

Are your prices quoted with GST?

Our quotes are in Australian dollars and clearly state whether GST is included, usually quoted ex GST with GST shown separately on invoices.

Security, privacy and ownership

Is it safe to paste customer data into ChatGPT?

Not into consumer versions without checking their settings. Use business or enterprise AI services with appropriate data terms, remove unnecessary personal details, and follow a written policy on what staff can share.

What should be in a contract with a digital agency?

Look for a clear scope, deliverables, fees and payment terms, timelines, ownership of work and accounts, confidentiality and privacy obligations, support terms and how either party can end the arrangement.

What happens to my website if I stop working with my agency?

If the domain, hosting and website files are in your name, you keep everything and can move to another provider. Problems arise when agencies own accounts, so check ownership before you start.

Do small businesses need a privacy policy?

Many small businesses under $3 million turnover are exempt from the Privacy Act, but exceptions apply, such as health service providers. A clear privacy policy is still good practice, and some platforms and payment providers require one.

Australian business considerations

What is the National AI Centre’s Guidance for AI Adoption?

It’s an Australian Government framework that helps organisations adopt AI responsibly, covering areas such as accountability, risk management, testing, transparency and human oversight. It’s a useful checklist for SMEs starting with AI.

Does the Spam Act apply to automated SMS and emails?

Yes. Commercial electronic messages in Australia need consent, must identify the sender and must include a working unsubscribe option, whether sent manually or by automation.

How does Payday Super affect small business admin?

From 1 July 2026, employers pay super with each pay run rather than quarterly, which increases the frequency of super payments and checks. Payroll software handles payments; automation can help monitor that each payment has been made.

Should my website use Australian or US spelling?

Use Australian spelling, such as “optimise” and “colour”, if your customers are Australian. It reads more naturally to local visitors and reinforces that you’re a local business.
